“Our old system meant that at the end of the workday and early in the morning, it would be the overnight team members' job to clear the email inbox and manually transfer all the agent booking emails into our booking system for the drivers' sheet in the morning. This is no longer required. Our use of AI scraping tools and the much more efficient online booking process means we are no longer having to spend our evenings trying to keep on top of things. In the heat of the Summer season, this was completely untenable. Having our new system in operation before it kicked off this year was a lifesaver.”

The Problem

Cityline’s operations were spread across multiple disconnected systems, with bookings coming in through walk-ins, Intercity, tour operators, i-Sites, emails and phone calls. Consolidating these into a single source of truth was a daily challenge, especially when drivers needed clear, accurate manifests for their routine trips.

On top of that, financial management was difficult. The previous systems lacked the sophistication to generate invoices or reports on demand, making it hard to track revenue, reconcile data and maintain accurate records. Together, these challenges created inefficiencies that slowed down operations and limited Cityline’s ability to scale effectively.

The Solution

Cityline wanted more than just a booking platform — they needed a comprehensive system that would power their own business and could later be shared with other fleet operators. We worked closely with them to shape a feature-rich platform designed to manage every aspect of fleet operations.

The new system includes tools for building tours, charters and daily services, while also managing fleet and driver data with precision. It tracks service schedules, manages compliance and ensures drivers are looked after with regulated breaks and time management during trips.

We introduced an AI-powered booking gateway capable of automatically reading emails, PDFs and other sources, consolidating all bookings into daily manifests with no manual intervention. This eliminated human error, saved valuable time and gave drivers accurate, real-time schedules.
